Email-in gives your Klarbon account a private address, such as k7q2m9xp4a3n@klarbon.app. Forward an email with an e-invoice attached, and a reply comes back to you with a readable PDF of the invoice and its check result. It is part of Pro and Bookkeeper, works from any phone or mail program, without creating a document archive in Klarbon.
How does it work?
- Sign in and find your email-in address under your account. It is a random address that only you know.
- Forward the email with the e-invoice attached, or send the XML or PDF file to the address.
- A reply arrives at your account's email address with a readable PDF for each e-invoice and a check summary.
Klarbon reads XRechnung, ZUGFeRD, Factur-X, Peppol BIS, UBL and CII attachments, including a PDF with the XML inside and e-invoices inside a ZIP file, one level deep. Up to 10 attachments in one email are processed, each within the 20 MB file limit.
Who receives the reply?
Only you. The reply always goes to the email address of the Klarbon account, never to the sender of the message, so the address cannot be used to send mail to anyone else. Mail to an address that does not belong to an account is dropped without a reply.
What is in the reply?
For each attachment, one line:
- Valid, with the number of warnings, and the readable PDF attached.
- Not valid, with the number of errors and the first rule codes, such as BR-CO-15, and the readable PDF attached. Open the check for the full explanation.
- Not an e-invoice Klarbon can read, for a file it does not recognise or one over 20 MB.
Ordinary attachments without invoice data, such as a letter as PDF or a logo, are left out of the reply.
Which plans include it?
Pro and Bookkeeper. Every account has an address; while no plan is active, mail to it is not processed and you get a short note pointing to the plans instead, at most a few times a day. Bookkeeper adds addresses you can give to your clients, so their suppliers' e-invoices come to you readable.
What happens to the email?
Klarbon processes the message to prepare the reply, without creating a document archive. Sent-message previews are switched off in our email service. The reply still passes through that service on its way to you, and your mailbox keeps the delivered message. The application does not write attachment content to its diagnostic logs. Frequently asked questions
Who receives the readable PDF when I forward an invoice?
Only you, the account holder, at the email address of your Klarbon account. Klarbon never replies to the sender or to anyone else.
Which plans include email-in?
Pro and Bookkeeper. Every account has an address, but mail to it is only processed while one of those plans is active.
What do I get back?
A reply with a readable PDF of each e-invoice found in the email and a short check result, such as valid, valid with warnings, or not valid with the rule codes.
Does Klarbon keep the forwarded email?
Klarbon does not archive the forwarded message, and sent-message previews are switched off in our email service. The reply still passes through the email service, and your mailbox keeps the copies it receives.
Can my clients send invoices to my address?
Yes. Anyone can send to the address, but the reply always goes to you. Bookkeeper gives you email-in addresses to hand to clients.
