Fix a rejected e-invoice

Open a rejected e-invoice, understand the errors and correct its fields. Download a newly validated file for one credit.

In short

Open a rejected e-invoice as a form, correct it and get a file that passes the checks. Free preview, then 1 credit (€4.99).

Klarbon's Fix tool opens a rejected e-invoice as a form and writes a corrected file once you have changed what needs changing; a free check beforehand reports returned findings, with field mappings and correction guidance where available. The new file is validated before you download it, for one credit. Fix is for invoices you issued; an invoice you received should be corrected by its sender.

How does fixing work?

  1. Upload the rejected file. The XML, or the ZUGFeRD or Factur-X PDF. Klarbon reads XRechnung, ZUGFeRD, Factur-X, Peppol BIS, UBL and CII.
  2. See what failed. Check the file first: returned findings include rule codes, such as BR-CO-15, with field mappings and correction guidance where available. From the report, "Fix this invoice" opens the form.
  3. Correct the fields. Change the values in the form. The form keeps the invoice's own format unless you choose another.
  4. Validate and download. Klarbon writes the invoice and checks it again. If a rule still fails, the error is listed and you return to the form. When it passes, one credit unlocks the download.

Send the fixed file the way you sent the first one, and tell the recipient it replaces the rejected one if they ask for that.

What can I fix?

Problem Example Fix in the form
Totals that do not add up BR-CO-15: total with VAT is not total without VAT plus VAT (Peppol rules) correct a line amount or the rounding
A required field missing buyer reference, Leitweg-ID, order number add the value your customer gave you
A code outside the list unit code, VAT category, country code pick a code from the list Klarbon offers
Wrong or missing VAT details exemption reason missing for a 0% line add the reason or the right category
Wrong identifiers seller VAT number, buyer electronic address correct the value

For the meaning of a specific code, see e-invoice error codes explained.

What stays the same?

The form starts from supported fields in the original, and it recalculates totals. Do not assume that every original value is preserved unchanged. The conversion loss list describes changes when writing the new file, not every field the reader could not carry from the original. Compare the result with your original before using it. Klarbon does not guess corrections or fill fields for you. If a fix needs information you do not have, such as the buyer reference, ask your customer.

When will fixing not help?

When the file was valid and the rejection had another cause: the recipient is not registered on the network you used, their portal has its own requirements, or they expect a different format. Ask the recipient or your Peppol provider. If they need another format, convert the invoice instead. A file that passes Klarbon's checks is not a guarantee that the recipient accepts it, nor a confirmation that the invoice is correct for tax purposes.

What happens to my file?

It is processed on Klarbon's servers for the request and then deleted. Klarbon keeps no copy. See what happens to my files.

What does it cost?

Reviewing returned findings is free within the daily check limit. Downloading the corrected file costs one credit: EUR 4.99 including VAT, or less in packs of ten or fifty. If no valid file can be produced, no credit is used. See prices.

Frequently asked questions

How do I fix a rejected e-invoice?

Check the rejected file with Klarbon to review the returned findings, then choose "Fix this invoice". Correct the fields in the form, and Klarbon writes the invoice again and validates it before you download it for one credit.

Does a fixed invoice keep its invoice number?

The invoice number and values shown in the form remain unless you edit them. Fields from the original that Klarbon could not read into the form may not carry over. Compare the result with the original before using it.

Will the recipient accept the fixed invoice?

The fixed file passes the rules Klarbon checks, but acceptance also depends on things outside the file, such as the recipient's identifier, their portal or their own requirements. Klarbon cannot guarantee acceptance.

Can I fix an invoice I received?

You should not. An invoice belongs to whoever issued it. Check it to see which rule failed and ask the sender for a corrected invoice.

What does fixing cost?

Finding and explaining the errors is free within the daily check limit. Downloading the corrected, validated file costs one credit.
