Terms of service

Klarbon is provided by Erys AI Ltd. These terms govern your use of the service and each purchase. If you buy as a consumer, your mandatory rights under the law of your country remain. If you buy for your trade or profession, the business provisions apply. A VAT number sends a withdrawal request to our billing team for review; it does not override rights you actually have.

What does Klarbon provide?

Klarbon opens, checks and converts supported e-invoices and bank statements. The formats, versions, limits and availability shown by the tool before you use it define its support. A beta feature may have narrower support than a live one. Klarbon is not bookkeeping software, a document archive, a Peppol access point or a tax-filing service. It does not initiate bank payments or submit invoices to public platforms.

Opening an invoice in the site's viewer runs on your device. Server tools and the API work differently. Read what happens to your files and the privacy notice. Business document processing is governed by the data processing agreement.

Where AI extraction is enabled, AI reads PDFs without structured data. You must check the pre-filled values before continuing. A passed check means that the selected technical rules were applied, not that tax treatment is correct or that a recipient must accept the file. Keep your originals and download the outputs you need. Klarbon cannot recover a document after request processing ends.

Accounts and acceptable use

Use an email address you control, keep that mailbox secure and do not share sign-in codes or API keys. You are responsible for the activity you authorise, including a team member's use of shared credits. Tell security@klarbon.app promptly if access may have been compromised.

Submit only data you have authority and a lawful basis to process. Do not upload malicious files, breach another person's rights, bypass limits, resell access by sharing an account, interfere with the service or use it unlawfully. We may limit or suspend access where reasonably necessary to prevent abuse, protect others or meet the law. We explain the reason and offer a route to challenge a restriction unless doing so would compromise security or be unlawful. Contact support@klarbon.app if you disagree.

Prices, credits and API packs

The pricing page and checkout show the price, VAT treatment, billing period, allowance and material limits before you pay. Consumer totals include applicable VAT. The amount shown at checkout is the amount you agree to pay. Stripe handles payment details; Klarbon does not receive your full card number.

Bought credits never expire. One credit pays for one successful invoice conversion, fix or make, or one started group of ten PDF statement pages or 500 transactions in a bank file. Failed processing that cannot produce the supported output returns the credit. A credit reversal restores your balance; it is not a payment refund.

Plan credits are granted each plan month and do not roll over. Yearly billing still grants credits monthly. Plan credits are used before bought credits, with free grants last within the bought balance. Refund calculations allocate paid units oldest first. Credits are for the account's use, are not money and cannot be transferred or redeemed for cash except through a refund right or agreed remedy.

API packs add calls to a separate, non-expiring API balance. Only API-key and MCP requests spend it, before plan and bought credits. The site never spends the API balance. A call pays for the same unit of work as a credit. A failed call costs nothing. The tools and account show the number of calls and the price before purchase. API access is subject to the published rate and file limits.

Subscriptions and cancellation

A subscription renews at the billing interval shown at checkout unless cancelled before renewal. Use the billing portal from your account to cancel renewal or manage the subscription. Cancellation of renewal and withdrawal are different: cancellation stops future renewal; it does not itself request a refund or remove statutory rights. If the portal is unavailable, write to billing@klarbon.app before renewal.

Yearly Bookkeeper subscriptions may be paid by invoice through the offered checkout route. The invoice states its due date. Unpaid invoices do not create an entitlement to paid features. Failed payments or a payment dispute can suspend paid features while the issue is resolved. We do not change an existing prepaid purchase's price retrospectively. Any proposed renewal price change will be communicated before it takes effect so you can decline renewal.

Automatic top-up

Auto top-up is optional and off until you enable it with a saved card, a pack and a threshold. When a spend takes the relevant balance below the threshold, Klarbon attempts to buy that pack off-session with the saved card, subject to the displayed daily cap. Credit and API top-ups have separate settings and balances. A payment failure or request for bank confirmation turns that top-up off and sends you a service email. Turn it off from the account page to stop future attempts. Each completed top-up is a separate pack purchase with its own receipt and withdrawal period.

Consumer withdrawal and refunds

Withdraw from contract here. This function is linked in every page's footer and in your receipt. You do not need an account or a particular form: a clear statement to billing@klarbon.app or our registered office is also sufficient. Tell us your name, how to contact you and which contract you are withdrawing from. Do not send a card number, a sign-in code or a document.

Consumers normally have 14 days from conclusion of a distance contract to withdraw without giving a reason. Sending your statement before the deadline is enough. Where the law gives longer, including for missing required information, that longer period applies. The online list shows the ordinary 14-day period; contact billing@klarbon.app if your purchase is missing or you rely on an extended right.

Before purchase, an unticked box asks you to accept the terms, expressly request immediate performance and acknowledge that the withdrawal right ends once everything bought has been supplied. The receipt confirms the version and that request. We treat prepaid credits and API calls as advance payment for document-processing services, not as a download whose entire withdrawal right disappears merely because the balance was credited. A completed single unlock is a fully performed service. Subscriptions provide an ongoing digital service. The legal rights concerning non-conforming digital services remain separate.

A normal renewal under the same subscription is not a new initial contract. It does not start a fresh ordinary withdrawal period merely because another payment falls due. A new contract or a change that legally creates a new withdrawal right is assessed separately. Contact billing@klarbon.app about it.

Signed in, choose the purchase and confirm the withdrawal. Signed out, send the statement with your email and an optional contract description. We record and acknowledge it immediately on screen and by email. The email has a single-use link valid for seven days to choose that address's purchases. Using the link later does not restart the refund deadline. If we cannot identify the contract, billing receives the case and contacts you. You can always contact billing directly instead.

Eligible refunds are initiated automatically through Stripe to the original payment method. We do not charge a refund fee. A valid refund is due without undue delay and no later than 14 days after we receive the withdrawal; bank processing can affect when it appears. Business purchases, over-use and unidentified contracts are tracked by billing against that same deadline. Withdrawing from a subscription ends it, rather than merely switching renewal off. Refunded credits or calls are removed when Stripe confirms the charge refund. Repeated submissions do not create repeated refunds.

Problems, conformity and complaints

Write to support@klarbon.app with the step that failed and the purchase reference, not the contents of an invoice or statement. For consumers, services must meet the standards required by applicable law. Depending on the problem and the law, you may be entitled to correction, repeat performance, a proportionate price reduction, termination or reimbursement. Those remedies do not end when an ordinary withdrawal period ends and are not replaced by our automatic credit-return policy. We will explain the remedy offered and how to challenge the outcome through billing@klarbon.app.

Availability and responsibility

We take reasonable care to provide the service as described. We do not promise uninterrupted availability, compatibility beyond published support or permanent storage of your documents. We remain responsible for faults and remedies to the extent required by law.

Consumers: nothing in these terms excludes or restricts mandatory consumer rights. We do not impose the business liability cap below on consumers. You keep the remedies and protection against unfair terms provided by applicable law.

Businesses: subject to the exceptions below and the requirement that a limitation be lawful and reasonable, Erys AI Ltd's aggregate liability arising from the service is limited to the fees you paid for Klarbon in the 12 months before the claim. This does not excuse payment of a refund or other obligation that cannot lawfully be limited.

For everyone: no term limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or anything else that cannot lawfully be excluded or limited.

Governing law and changes

These terms are governed by the law of England and Wales. A consumer does not lose the mandatory protections of the law of their habitual residence where those protections apply, including under Article 6 of the Rome I Regulation. Nothing here removes a consumer's right to bring proceedings in a court available to them under mandatory law.

This version applies to purchases made under it. We publish a new version before changing these terms and notify account holders of material changes affecting their continuing service. Changes do not remove rights already acquired or retrospectively alter the terms recorded with a purchase.
