Convert a PDF into an e-invoice
PDF to e-invoice: enter details in a form and download a validated file for one credit. Automatic PDF reading is not available yet.
In short
Fill in one form and get an e-invoice checked against the selected rules, for the few you send a year. Free preview, then 1 credit (€4.99).
Have a PDF invoice but need an e-invoice? Keep the PDF beside you, enter its details in Klarbon's form, choose the format your customer asks for and download a validated file. Klarbon writes XRechnung, ZUGFeRD, Factur-X, Peppol BIS, UBL and CII. Automatic PDF reading is not available yet. The preview is free; a validated download costs one credit. Klarbon writes the file; it does not send it.
Which format do I need?
| Your customer | Usually asks for | Tool |
|---|---|---|
| A German public body requiring XRechnung | XRechnung, with the buyer reference it supplies | PDF to XRechnung |
| A German business requesting ZUGFeRD | ZUGFeRD in the profile it accepts | PDF to ZUGFeRD |
| A French business whose platform asks for Factur-X | Factur-X, sent through its approved platform | PDF to Factur-X |
| A customer asking for Peppol BIS Billing | Peppol BIS Billing, sent through your access point | PDF to Peppol BIS |
| Any customer naming UBL | UBL 2.1 | PDF to UBL |
When the customer names a format, use that one. Not sure what the names mean? See XRechnung or ZUGFeRD and Factur-X, UBL or CII.
How does conversion work?
- Keep the PDF open beside the form. Enter the seller, buyer, invoice lines, amounts and payment details yourself.
- Choose the format. Klarbon marks every field the chosen format requires.
- Check the details. Compare everything you entered with your PDF and complete missing fields, such as a buyer reference.
- Validate and download. Klarbon writes the file and checks it against EN 16931 and the chosen format's rules before you pay. One credit unlocks a validated download.
What should I check before downloading?
The values that would make the invoice wrong, not only the ones that look odd. Validation tests consistency, such as the total with VAT being the total without VAT plus the VAT (BR-CO-15); it cannot tell whether an amount is the right one.
- Seller and buyer names, addresses and VAT numbers
- Invoice number, dates and delivery period
- The buyer reference or order number your customer gave you
- Each line: quantity, unit, price, VAT category and rate
- Totals, payment terms, IBAN and BIC
Can I use a scanned PDF?
Yes, if you can read its details and enter them yourself. Automatic reading of scanned or ordinary PDFs is not available yet. Compare every field with the scan before you download.
What happens to my PDF?
The PDF stays on your device. The form doesn't upload it; you keep it open beside the form for reference. The details you type are sent to Klarbon to write and validate the file, and they are not kept once the file is returned. See what happens to my files.
What does it cost?
One credit per validated invoice download. Filling the form and checking the preview are free. One credit is EUR 4.99 including VAT, ten are EUR 29 and fifty EUR 99; bought credits do not expire; monthly plan credits do not roll over. If no valid file can be produced, no credit is used. See prices.
Does Klarbon send the invoice?
No. You download the file and send it the way your customer asks: by email, through their portal, or through your Peppol provider or approved platform. Klarbon is not a Peppol access point and keeps no archive.

Frequently asked questions
How do I convert a PDF invoice into an e-invoice?
Keep the PDF beside you and enter its details in Klarbon's form. Choose the format your customer asks for; Klarbon marks required fields, writes the file and validates it before you download it for one credit. Automatic PDF reading is not available yet.
Which e-invoice formats can I convert a PDF into?
XRechnung, ZUGFeRD, Factur-X, Peppol BIS Billing, UBL and CII. Each format page explains the versions and profiles.
Which format should I choose?
The format your customer or their portal names. For German public procurement, XRechnung is one option; for in-scope Belgian B2B invoices, Peppol is usual but the authority permits agreed alternatives under conditions. A French customer can tell you which format its approved platform accepts.
Does Klarbon invent missing invoice data?
No. Every value comes from you. The form marks fields the chosen format requires, such as a buyer reference, for you to fill.
Is renaming a PDF to .xml the same as converting it?
No. An e-invoice needs structured data written to a standard. Renaming a PDF changes only its filename.
