Warning

UBL-CR-083: Leave the document type out of the tender or lot reference

In short

Warning: worth checking.

UBL-CR-083 means the tender or lot reference contains a document type text, which EN 16931 does not use. Delete the text and keep the reference number. The file is still accepted, so this is a warning.

What it means

An invoice or credit note can name the tender or lot it relates to (BT-17) in cac:OriginatorDocumentReference. Only the identifier (cbc:ID) belongs there. This rule checks that there is no cbc:DocumentType, a free text that describes the kind of document being referred to.

Why it matters

This is a warning, so the invoice is not rejected. Because the standard has no place for this text, the recipient's system has nothing to map it to and normally ignores it. It is still worth tidying, since it carries no information the recipient can use.

How to fix it

Open the tender or lot reference in your invoicing software and clear any field that names the type of the referenced document, such as a label or category. Leave the reference number as it is, then export again. If you build the XML yourself, delete cbc:DocumentType from cac:OriginatorDocumentReference.

The rule as published

A UBL invoice should not include the OriginatorDocumentReference DocumentType
